What happens behind the scenes

How much work does it take your business to answer a simple question?

A message comes in. Someone checks a system, someone else opens Excel, someone asks in the group, someone copies a number, and eventually somebody gets back to the customer. Pick a question and let’s follow it.

Vegan restaurant · Messenger and WhatsApp

Not an online store. A conversation that knows how to take an order.

The problem
2020, COVID. A vegan restaurant in Haifa needs customers to be able to order online, quickly, without taking on a full e-commerce build while the rules change almost every week.
What we built
A Messenger bot that shows the menu, asks the right questions, configures each dish, builds a basket, takes payment and sends a receipt. The order itself goes straight to the counter and the kitchen.
What changed
The restaurant got an online sales channel without an e-commerce project, and customers enjoyed ordering by chat. WhatsApp later became the main channel, for sales and customer service together.

“Customers order food deliveries straight from Messenger without needing to call…”

Bags and leather goods importer · WhatsApp and Hashavshevet

The old system stayed. WhatsApp became its front end.

The problem
A large importer of bags and leather goods whose customers are stores. They constantly need to check SKUs, models and stock, and everything lives in an old Hashavshevet system. A dedicated portal would have meant more development, permissions, security and maintenance.
What we built
A WhatsApp bot connected to the existing system’s data. It recognizes customers by their phone number, and only approved numbers get through. They can search by SKU, like QA2321, or simply type “suitcase under ₪200” and get matching products with stock availability.
What changed
A customer who finds what they need moves on to an order, and the request is emailed to management to handle. The business didn’t have to give up its old system to give customers a modern interface.

Karaoke room rentals · WhatsApp and a custom CRM

Not just a chatbot, not just a CRM. One system from the booking to the next visit.

The problem
A business that rents karaoke rooms by the hour. It began with a customer service bot on WhatsApp, before AI agents were a thing. Over time it became clear that talking to customers and running the evening were really the same story.
What we built
A WhatsApp layer that handles service, booking confirmations, reminders before the event, attendance confirmations, messages after the event, birthday greetings and customer club updates. Underneath it, a management system built for the business: customers, rooms, events, conversation history and WhatsApp activity.
What changed
When customers arrive, a QR code is scanned and the shift manager immediately sees the customer and event details. The customer journey and the operational side are connected, from the first inquiry, through the visit, to staying in touch afterwards.

“Among other things, he built us a WhatsApp bot and other solutions that brought real order to our business and greatly improved our day-to-day work.”

Tax consulting firm · WhatsApp, lead journey and a custom CRM

No inquiry disappears just because someone forgot to follow up.

The problem
A tax consulting firm with no organized CRM and no WhatsApp setup. Prospects left their details, some weren’t ready to start yet, and an inquiry could vanish simply because nobody remembered to handle it.
What we built
We started with a WhatsApp service bot and, alongside it, a journey of about 60 days for prospects who hadn’t signed yet: videos and useful content on opening a business, onboarding and professional guidance, sent at set stages. Not sales reminders, content that helps them decide. The CRM started on monday, and as the needs grew, a custom CRM was built for the firm.
What changed
Today the team has a management dashboard, leads and clients, documents and digital signatures, WhatsApp distribution, a service bot, agent alerts, follow-up controls and reports. An inquiry nobody has handled surfaces on its own, and the team can see all of its work.

Clinic · Optimus, automation and WhatsApp

The system had no API. It did send a daily email, and that was enough.

The problem
A well-known clinic that works with Optimus and likes it. The request was simple: connect Optimus to WhatsApp. But Optimus is a closed system with no API suitable for that, and replacing a system that works well wasn’t the right answer.
What we built
We looked for another point in the workflow we could rely on, and found one: every day, at a set time, Optimus emails a file with the next day’s appointments. The automation picks up the email, extracts the appointments, syncs them to a cloud interface and schedules the messages.
What changed
The day before, patients get a WhatsApp message asking them to confirm, and anyone who doesn’t confirm moves to a follow-up phone call. On the morning of the appointment they get arrival details and a Waze link, and after the visit, a feedback request. In the clinic’s experience, no-shows dropped significantly.

“Chen and Tal, there are no words: a professional, pleasant, available team that thinks with me about every little detail, and every time I raise a need, they already come with a solution.”

FAQ

Fair questions. Straight answers.

The short answer sits next to each question. Open it for the full picture.

Try:

Systems and integrations

  1. We already have a CRM or another system. Do we need to replace it?Short answer: Not necessarily

We start by looking at what you already have: what works, what’s missing and what it can connect to. In many cases the system stays where it is, and the new capabilities are built around it.

  2. Do you only work with WhatsApp and bots?Short answer: No

WhatsApp is one channel among several, alongside Telegram, Messenger and others. We also build integrations between systems, automations, custom systems and solutions that combine CRM, ERP, APIs, AI and other technologies, depending on what the problem calls for.

  3. Can you connect an old or closed system that has no API?Short answer: Sometimes

We look for the integration points that do exist. The goal is a practical solution that doesn’t automatically mean replacing a system the business already relies on. Not every closed system can be connected, and we check that before committing to anything.

    • Data exports
    • Files
    • Emails the system sends
    • APIs, even partial ones
    • Other mechanisms the system supports
See how it was solved at Magical Skin
  4. Do you build systems from scratch or work with existing tools?Short answer: Both

It depends on the project. Sometimes an existing platform is the most sensible choice; other times it takes custom development, or existing tools combined with purpose-built code.

  5. Can you connect to the system we already use?Short answer: Often, yes

But every system has to be evaluated on its own. Before recommending an approach, we look at its integration options, the APIs available and its technical limitations.

WhatsApp and automation

  1. What is official WhatsApp, and how is it different from the regular WhatsApp Business app?Short answer: An app versus a platform

The WhatsApp Business app is a phone app for businesses that handle their conversations themselves, by hand. “Official WhatsApp” usually refers to Meta’s WhatsApp Business Platform: access through an API, which lets WhatsApp connect to a business’s systems and support bots, automations and more advanced workflows. Not every business needs the platform. The right choice depends on what the business needs WhatsApp to do.

  2. What can WhatsApp do beyond a bot that answers messages?Short answer: Much more

WhatsApp can become an operational interface for the business and work with the systems it already uses. Depending on the implementation, customers can use it to:

    • Place orders
    • Check stock
    • Book appointments
    • Confirm attendance
    • Upload documents
    • Receive automatic updates
See ordering by chat at Hummus Bar
  3. Can WhatsApp be connected to our CRM?Short answer: In many cases, yes

    Possible capabilities include:

    • Logging conversations in the CRM
    • Opening service requests
    • Updating records
    • Alerting team members
    • Triggering automated workflows

What’s actually available depends on the CRM and its integration options.

    See it at Karaoke Jerusalem
  4. Can a WhatsApp bot actually do things, not just answer questions?Short answer: Yes

A bot can be the interface for real business operations. For example, a retailer buying from a wholesaler sends a SKU, checks availability and moves on to placing an order. That example comes from a system we actually built.

    See the Shogun bot
  5. Can we start with a simple bot and expand it later?Short answer: Yes

A business can start with a focused customer-service bot and later look at CRM integration, automations, sales processes, reminders or AI. Each expansion is planned around real needs, and sometimes it calls for architectural changes or runs into technical limits. It’s worth knowing that up front.

See how it grew at Y. Gindi & Co.

AI and Voice AI

  1. Do you add AI to every project?Short answer: No

We use AI when it genuinely helps solve the problem, for example understanding free-text requests, classifying information or summarizing conversations. When standard automation or a simple integration does the job better, we won’t add AI just for the sake of it.

  2. What is Voice AI, and can it really answer phone calls?Short answer: Yes, within defined limits

Voice AI uses artificial intelligence to hold spoken conversations. Depending on the implementation, a voice agent can:

    • Answer common questions
    • Collect details
    • Understand why someone is calling
    • Book appointments
    • Hand the call over to a person

These are capabilities the technology supports, and what fits a particular business is built for it. Not every conversation should go to an agent, either: some interactions are better left to people.

  3. Can a Voice AI agent work together with WhatsApp and a CRM?Short answer: Yes, depending on the systems

Subject to what the connected systems support. Here is an example of a solution that can be built to fit:

    1. A customer calls the business
    2. The voice agent understands the request and collects the details
    3. The CRM is updated
    4. A WhatsApp message follows with a summary, a link or the next step

Depending on the implementation, the reverse journey is possible too. This is built for each business separately, not an off-the-shelf product.

Working with us

  1. How do we start working with you?Short answer: With the problem, not the technology

We start by understanding the business problem and your current technology: which systems you use, how work gets done today and where it gets stuck. From there we look at possible approaches and agree on a sensible next step. The solution might be an integration, automation, an existing platform, custom development or a combination.

  2. How do we know whether we even need automation or a new system?Short answer: Look at the problem first

Before choosing any technology, we make sure we understand the problem. Sometimes a new system really is needed. Sometimes a small integration or a change to an existing process is enough. The point is to solve the problem, not to add technology you don’t need.

  3. Do you only take on large projects?Short answer: No

Some of the most useful solutions address one specific, well-defined operational problem. The scope should follow the business need, not the other way around.

  4. How much does a project cost?Short answer: There’s no single price

Cost depends on complexity, your existing infrastructure, the integrations required and the scope of work. Before we can talk about price, we need to understand the actual business need.

  5. Can we get a quote over the phone, without a specification?Short answer: Only a general direction

A first conversation can help establish the general direction. But committing to scope and price means examining what actually needs to be done, and an estimate made without understanding the requirements wouldn’t be worth much.

  6. What happens if the project changes along the way?Short answer: It happens

Business needs evolve. Where it makes sense, we build in stages and start with the capabilities that matter most, which leaves room to adjust along the way. How much flexibility there is depends on the project’s architecture and its technical constraints.

  7. What happens after the system goes live?Short answer: It’s not necessarily the end

Going live isn’t necessarily the end of the process. Depending on the agreed scope, the next stages can include:

    • Testing
    • Adjustments
    • Monitoring
    • Support
    • Maintenance
    • Further development

What each stage includes is defined in the work agreement.
